Your privacy is of great importance to the University of Utrecht and Parnassos Cultural Center. We adhere to the privacy law, which means that your data is safe with us and we always use it properly. In this privacy statement, we explain what we do with the information we learn about you at Parnassos Cultural Center.

Use of personal data
When you register online for a course or purchase tickets for a performance, we receive the following information about you:
- Phone number
- Email address
- Payment details
- Date of birth
- Category (student/employee/Friends Pass holder UU/HKU/UMCU)
- Institution (educational institute/faculty)
- IP address
- Optional: address
- Optional: gender
The law refers to this as “personal data” and states that we may only use it if we explain exactly why and with what purpose. You can read about this below. We do not provide your personal data to other companies or organizations unless it is necessary to provide you with our service or if the law requires us to do so. For example, we may report suspected fraud to the police.
If you want to register online for a course, you need to create an account first. You need to provide information about yourself and an email address. With this information, we create an account for you, which you can log into using that email address and a password of your choice. We store this information so that you don’t have to enter it repeatedly, and so that we can easily contact you if necessary for the service you have requested (such as your course or performance). The legal basis for the processing of personal data is the performance of the agreement you enter into with us. Additional data may be processed based on our legitimate interest.
If you want to claim the discounted rate, you need to select a category (student/employee/Friends Pass holder UU/HKU/UMCU). You can choose not to share this information. In that case, you will automatically fall into the “Others” category and pay the highest rate.
The information you provide may be used for analysis. This allows us to tailor our offerings and information provision to your preferences. Providing data exclusively for analysis purposes is not mandatory, and we only do so if you have given your consent. If you want to receive a course brochure twice a year, we need your address for that.
You can modify and delete your data through your account whenever you want. You cannot delete information that we need to retain for the Tax and Customs Administration. Seven years after the last payment, your data is automatically converted so that it can no longer be traced back to you as an individual.
You can order tickets for performances and activities online through your Parnassos account.
Room rental and Parnassos pass holders
When renting a space and obtaining a Parnassos Pass, it is not necessary to create an account, but you are welcome to do so.
Room rental: If you want to reserve a room, you fill out the application form. We require some information from you to prepare and send the invoice, such as your name, organization (if applicable), address, and email address. If you want to be eligible for a discount, please also provide the category and status. Providing your phone number is not mandatory, but we recommend doing so to facilitate easy contact regarding any questions or comments about your reservation. Similarly, providing your gender is not necessary and will be used solely for analytical purposes.
Your data will be retained for a maximum of one year after the rental period for administrative purposes. If you made a payment with a debit card, we will delete your payment details one month after payment.
Parnassos pass holders: For issuing Parnassos passes, we require at least your name and email address. Your email address will only be used for notifications regarding changes in opening hours. If you want to be eligible for a discount, please also provide the category and status. If you do not provide this information, you will automatically be categorized as “Others” and charged the highest rate. It is not mandatory to provide your address, phone number, or gender. We use this data solely for analytical purposes. You can subscribe to our newsletter or indicate if you wish to receive our brochure by mail. Participation in this information provision is not mandatory and can be terminated at any time. Please refer to the section “Newsletters and Service Emails” below for more information.
When you avail of our services (such as enrolling in a course or purchasing tickets), we use your personal data to process these services and keep you informed about matters related to your course or performance. We also receive information about your payment from your bank. We retain this information for a maximum of seven years, unless you delete data from your account. Some data may only be deleted after seven years due to legal obligations imposed by the Tax Authority.
We would like to keep you informed about the activities and courses at Parnassos. We do this through:

• Social media
When you enroll in a course or purchase tickets from us, you can indicate whether you wish to receive our information and through which channels. You can subsequently opt-out of receiving this information at any time. Our newsletter contains an unsubscribe link, and you can block or unsubscribe from us on social media. If you no longer wish to receive our brochure by mail, you can update this in your account or send an email to the address provided on the brochure’s mailing label. Newsletters and Service Emails
You can subscribe to our newsletter through our website or the registration form. It contains news, tips, and information about our courses and events. You can unsubscribe from this information provision at any time. Each newsletter contains an unsubscribe link. You can also communicate your preference through your account. Your email address will only be added to the subscriber list with your permission. When you enroll in a course or purchase tickets for a performance, you will receive service emails from us, such as a registration confirmation or an email containing your digital tickets.
Disclosure to other companies or institutions
We only provide your personal data to other companies or institutions if it is necessary for our services or if we are legally obligated to do so (e.g., if requested by the police in case of suspected criminal activity). Parnassos Cultural Center collaborates with several partners, including HKU, HU, UvH, and UMCU, as part of the University of Utrecht. Our partners contribute to the costs of the courses, allowing us to offer discounted rates to their students and employees. If you enroll in a course at a reduced rate and study or work at one of our partners, we will securely transmit your personal data to the relevant partner. This is to account for the financial contribution they provide to us.
We do not use Google Analytics.
The security of personal data is of great importance to us. We have implemented appropriate technical and organizational measures to secure our systems against unauthorized use and access to your personal data. Only a limited number of employees have access to account information, and logging into the system requires a strong password.
Accessing and modifying your data
If you have any questions or want to know what personal data we have about you, you can always contact us. After 7 years of inactivity, your data will be automatically anonymized so that it can no longer be traced back to you as an individual. You have the following rights:
- Explanation of the personal data we have and how we use it
- Access to and the ability to request the exact personal data we have about you
- Correction of errors and the ability to modify your personal data
- Deletion of (outdated) personal data
- Withdrawal of consent to receive the digital newsletter and brochure Please ensure that you clearly indicate who you are so that we can be certain that we are not modifying or deleting data of the wrong person.

Filing a complaint
We would like to hear from you if you have any complaints. You can contact our privacy officer for that. If you believe that we are not assisting you properly, you have the right to file a complaint with our Data Protection Officer or with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
